Ibsecad automates control of Projects, Resources & Costs with Atlantic Global OnDemand

The Challenge
Ibsecad pride themselves on their professional approach to all projects and are always seeking ways to further improve their efficiency and service levels.
As a result of this approach, in 2008 Ibsecad reviewed their methods for managing resources and projects.
Ibsecad were using spreadsheets to record time and expenses against dozens of high-profile projects for 75 CAD Designers and Project Managers. Spreadsheets were also used to help plan the resource allocation to these projects.
However, due to the detailed nature of Ibsecad’s project plans and the demand for detailed reporting, these spreadsheets were becoming
too complex to manage, they didn’t provide the security Ibsecad desired for the recording of sensitive data and were prone to occasional human error (causing wasted time and effort in rectifying records).
Even without mishaps in user’s data entries, it could take days to create Reports, which were limited in scope and accuracy. Therefore Ibsecad identified the need to automate their systems for planning projects, deploying resources and recording actuals (time and expenditure) against
their programmes of work.
The new system needed to provide a secure and intuitive method to record actuals and plan projects & resources and to provide robust and detailed, real-time reports. Ibsecad also needed a solution to gain better control of their resources and drive improved efficiency by analysing costs and identify where savings could be made. The automation of the Expense claim procedure, including Approvals and Payment, was also a key requirement in the system. A long-term solution was required, which would scale with Ibsecad’s growing operations. The selected software needed to be available to the users via a web browser. -
The Solution
Atlantic Global OnDemand was selected by Ibsecad as the ideal system to achieve these requirements. Atlantic Global have been developing and implementing its Project & Resource Management solutions for over 15 years and have used their experience to work closely with Ibsecad to achieve a successful implementation.
Atlantic Global OnDemand went live in just a few weeks and with minimal training. The administrator of the system at Ibsecad was able to train the CAD Designers and Project Managers internally. As a result Ibsecad were able to benefit from their investment immediately.
The CAD Designers, Project Managers and the Systems Administrator at Ibsecad were up to speed very quickly. As Atlantic Global OnDemand is delivered via a web-browser, access to the system is available any time and anywhere.
Ibsecad’s CAD Designers have their own User Dashboard, which provides them with instant visibility of their Assignments for the week, their Timesheet entry progress and Expense Claim progress. -
The Results
Using Atlantic Global OnDemand, Ibsecad can now assign and re-assign resources based on real-time availability and capability information. Utilisation of resources can be viewed at-a-glance and over/under-utilisation can be remedied immediately and intelligently based on roles, skills and availability.
Efficiencies have also been achieved in the management of operations itself. Project and Resource Managers have saved a significant amount of time in planning Ibsecad’s projects.
For example, before the implementation of Atlantic Global OnDemand, if a project plan moved, the process of moving all related tasks and assignments in spreadsheets was a lengthy and complicated one. With Atlantic Global OnDemand, a Project Plan can be moved instantly, along with all associated
assignments. Managers can now see what each of their Resources are working on at any point in time. Saving time interrogating out-of-date
spreadsheets, or chasing people individually.
