ImageNow Enhances Customer Service at Bullhead City

Shawnee, KS, July 12, 2006 --(PR.com)-- Perceptive Software, Inc., announced that the City of Bullhead, Ariz., uses ImageNow® integrated document management, imaging and workflow to efficiently manage records in the clerk's office and finance department.

The clerk's office at Bullhead City retains tens of thousands of public records, some of which were created more than 20 years ago. The office used a document imaging system, but its functional limitations made keeping a paper copy of each record a necessity. City administrators searched for an electronic document management product that would allow them to reclaim valuable floor space, instantly retrieve any page of any document, and access documents from remote locations. They selected ImageNow to meet these needs.

"Most document management products that could integrate with our host applications were outrageously expensive, and the cheaper systems had insufficient features," said Annette Bunch, assistant city clerk. "ImageNow was the only reasonably priced application that met our functional needs."

Before implementing ImageNow, city clerks found it difficult to access specific documents. When a member of the public came into the office or called to request a record, a clerk accessed information about the file in ImageFlow Light, then went to the storage area and searched for it. If the document wasn't misfiled, the clerk retrieved it and made a photocopy that was faxed or mailed to a caller or handed to a visitor. The original copy was then returned to the file cabinet. A similarly time-consuming process was necessary when Bullhead City employees in other locations requested information.

ImageNow enables users to retrieve documents with just a single click, then print documents for office visitors or send records to callers via e-mail. This speeds customer service and eliminates labor-intensive manual processes. Bullhead City employees in other offices no longer have to wait for hard copies to arrive, as they immediately access documents from their desktops.

"ImageNow makes it much easier to access and distribute documents," Bunch said. "In addition to improving customer service, it allows users across our network to quickly get the documents they need."

The clerks' office uses ImageNow Recognition Agent to capture information from documents that are presented to the city council for review. Using ImageNow Content Server, authorized users perform full-text searches of this data to find any page of any document in less than a second.

"Before implementing ImageNow, we indexed documents by keywords, and if an employee didn't enter the correct search term they couldn't retrieve the documents they were looking for," Bunch said. "ImageNow Content Server gives us unlimited search options that help us find documents without delay."

Bullhead City managers will extend ImageNow to several other multi-department offices, including development services, public works and community services. Bunch is confident that ImageNow will deliver benefits citywide.
