Komarek & Associates Becomes First Bay Area Tax and Bookkeeping Firm to Go Completely Paperless
Komarek & Associates’s CEO Paul Komarek announced today that after a year of planning and implementing a paperless document management system (DMS), the Campbell, California tax and bookkeeping firm is now the bay area’s first to be completely paperless. Becoming an eco-friendly office was an important part of the decision to go paperless, however, client security, identity theft protection and increased efficiency were also top priorities.
Campbell, CA, May 13, 2009 --(PR.com)-- As a completely paperless office, Komarek & Associates no longer prints or stores any paper files unless it is absolutely necessary or required by law. “Our client’s corporate documents and sensitive tax information are now encrypted, saved on high-tech servers with redundant storage and backed up in real time to out–of-state data centers,” says Komarek & Associates CEO Paul Komarek. “No paper documents exist that could be misplaced or stolen and the digital documents are available to our staff and clients with just a few clicks on the computer.” Once the documents have been digitally stored, an employee is able to find the file he or she is looking for by performing a search in the document management system, similar to how you would search on Google. The software is able to search through thousands of files in mere seconds and display the results based on relevance. This process is accomplished using a technique called OCR or Optical Character Recognition where the system “reads” the document and creates a searchable PDF file of it.
Implementing a paperless document management system can be costly and requires a lot of planning, but, the immediate and long term benefits outweigh the cost ten fold. Komarek hopes that other bookkeeping and accounting firms will follow his lead and upgrade their firms to a completely paperless environment. “Many businesses like to say they have ‘gone paperless’ but simply buying a document scanner and reducing your paper usage is not ‘completely paperless’,” says Komarek. “Client security has become an even bigger priority for our industry, especially with the increase in identity theft. Firms relying on the old paper file method are realizing that they simply cannot compete with the level of security we now offer our clients.”
