JCMT Become the Latest Practice to Adopt Workspace mini by Union Square
Workspace will encourage best practice processes and assist in achieving ISO accreditation.
Nottingham, United Kingdom, April 29, 2010 --(PR.com)-- JCMT, a 20 person architectural practice based in north London, have purchased Workspace mini to control documents, manage resources and introduce an integrated approach to project accounting. Workspace will assist JCMT in achieving ISO 9001 accreditation, deliver a robust email management solution and replace out of date systems in the practice.
JCMT currently manage the practice through a variety of third party systems, Microsoft tools and manual procedures. All electronic files and emails are stored on different drives within a fileserver, with corresponding hard copy files for externally produced documents and record copies. The practice recognised that problems were arising with employees introducing their own filing systems; making searching for information difficult and compromising the practice’s auditing procedures and general consistency.
JCMT considered the use of departmental systems to deal with specific issues in the practice such as email management and project accounting. After seeing Workspace however, JCMT recognised the benefits that a single software solution for the entire practice would bring. Practice Director Sheelagh McManus stated, “Workspace could address all of our problems through a single centralised system. In addition to the obvious benefits of simplified information access, Workspace will limit the training burden on employees, enable integration to other systems and offer a platform for further development.”
Once live Workspace will create an automatic audit trail of all project activities linked to internal and external contacts. Financial information such as fees, costs, invoices and financial reporting will be accessed direct from the project, ensuring all employees are informed of a project’s status. “Workspace mini will reduce work in re-keying data and will increase the commercial awareness of our staff,” added Sheelagh.
Workspace mini will enable JCMT to use the knowledge and experience of their employees combined with Workspace mini ‘best practice’ to standardise procedures and processes. With the increasing importance of Quality Management, JCMT expect Workspace to help them achieve ISO 9001 accreditation.
Sheelagh confessed JCMT have been very impressed with Workspace and Union Square: “The ‘out of the box’ nature of the product means that a lot of the thinking on how we streamline and organise our practice has been done for us, brilliant considering that Architects train for years to spend their time designing buildings, not formulating strategies for filing paperwork!
“Union Square have a genuine focus on Customer Service, and the Consultants we have worked with during our implementation have been committed to ensuring the project is delivered in a timely fashion but more importantly that it is delivered ‘right first time.’”
