SyndicIT Announces Automated Document Audits for Paperless Multihousing Industry Operations
Multihousing Industry Users of SyndicIT's Paperless Operations Services Can Now Audit Document Packages to Ensure Compliance
Austin, TX, February 15, 2011 --(PR.com)-- Multihousing Industry Users of Cloud-based Service for Electronic File and Paper Document Capture, Management, Storage, Workflow Processing, and Sharing Can Now Audit Document Packages to Instantly Know if Document Packages are Complete.
SyndicIT Services Corporation (SyndicIT) today announced that its service for paperless operations, designed specifically for use in the multihousing and commercial real estate industries, has been enhanced to now include the capability of "document package auditing." This new capability ensures that all documents specified as necessary and required in a package, for example, to complete a leasing package, or compliance packages for contracts and human resources, are present and accounted for. The system audits the specified document packages and produces a report showing which documents are present and which documents are missing according to the rules set for that package. An additional feature enables policies to be established for the on-going retention and destruction of any document according to established polices.
SyndicIT delivers secure digital document cloud-based storage, making electronic and scanned paper documents available via a web browser anywhere, anytime, eliminating the costs and risks associated with storing and managing paper files in the real estate industry. The SyndicIT system is designed for leasing office operations and community management and for enterprise-wide use across all business departments such as legal, HR and talent management, vendor and contract management, budgeting and accounting, A/P and services management.
“These new compliance and auditing benefits when added to the cost savings of paperless operations and reduction of security risks are significant,” said Debra Radice, managing director for SyndicIT Services Corporation. “While the time has clearly come to address paperless operations, automated records auditing, retention and destruction compliance now enables business operating managers and executives to know that all files are complete and being managed according to proscribed records completion, compliance and retention policies,” Radice added.

A desk top "drag and drop" avatar called Syndi ensures that all documents are captured, monitored, properly handled and filed. Syndi performs as a scanner applet, present on the user’s computer desktop enabling simple, fast and easy "drag and drop" capture of scanned or electronic documents whether they be Outlook messages, Excel, Word, PDF files, .TIF images, photos or even voice files to be digitally captured and shared. Syndi’s unique "print to Syndi" function enables users to "print documents" directly to the correct electronic file cabinet. Syndi also constantly monitors scanning devices moving scanned paper document automatically into workflows, to-do folders, in-boxes or electronic file cabinets.
The SyndicIT system also features ready-to-go document workflow processing, integration with Outlook to expedite document, message filing and attachment filing, and "hot key" access to/from line of business database applications such as property management systems for indexing a document or for document retrieval.
“We believe it is time to establish an industry standard for both document management and document exchange,” added Radice. “It’s time to untangle documents from the maze of ever-changing property management applications, and secure and stabilize these valuable business assets within a single, unified platform, useable by the entire business and its business partners,” added Radice.
