Keio Academy Simplifies Bill Back with OfficeWatch Telemanagement
Keio Academy of New York needed an easy-to-use call accounting package for their NEC phone system to accurately track student ID Codes and bill back phone usage. They chose OfficeWatch Telemanagement from Metropolis Technologies.

Founded in 1990, Keio Academy of New York is one of only a handful of High Schools remaining that are designated as an “overseas educational institution” by the Ministry of Education in Japan. The school offers enriched curriculum that ensures students master both Japanese and English by studying and completing assignments in both languages.
The school’s NEC phone system was originally installed with a 3rd party reporting package that did not have the full functionality the school needed. Keio sought an NEC compatible solution that was able to associate all calls made with a unique ID code to a particular student and bill monthly phone usage back to the student, even if those calls were made from different extensions within the school. Another requirement was that the tracking solution be very easy to use and manage. Each year the ID codes for graduating students are retired, and new codes are created for incoming freshmen. Importing this data each year in the prior call accounting application had become a cumbersome process for the system administrator. KEIO turned to their phone vendor, KDDI America (KDDIA) in New York for a recommendation. KDDIA suggested OfficeWatch Telemanagement.
“We ended up going to Metropolis, because [OfficeWatch] was easy to use,” explained Frank McGreal, Network and Sales Engineer for KDDIA. “The other call accounting system was very complicated.”
OfficeWatch was installed on the NEC phone system and the unique ID codes were imported into the software from an excel database. Reports that detail student, faculty and supervisor phone usage is broken down by account code, and automatically emailed to the accounting department each billing cycle. If additional data is needed, the system administrator can also pull one of over 200 report templates on demand, or create custom reports with ease.
“It is so easy to import and export the database,” McGreal described. “All I had to do was make sure the spreadsheet lined up correctly and we were good to go.”
