The practice's legacy time management system was used to track timesheets, approvals, purchase ordering, annual leave and expenses, while Sage Line 50 was used to separately manage financial information. Since Egniol's inception, Director Andrew Williams-Owen had sought a more efficient view of information. "Monthly reviews of finances were not transparent on a job-by-job basis – highly performing projects could mask underlying issues with less profitable ones," says Andrew. "The effort to merge the data sets from both systems was high and unsustainable; we needed greater transparency."
In addition, Egniol fell short at the final hurdle of ISO9001 accreditation, requiring more auditable evidence and compliance with procedures. Re-accreditation as an Investor in People also highlighted the need for greater accountability/ownership of projects and smarter workload planning. These key shortfalls cemented the need for a software solution.
A marketing leaflet for Union Square prompted Andrew to investigate the system's capabilities. It was shortlisted alongside another solution and presented to the management team, who immediately saw the operational benefits it would provide. "The integrated nature of Union Square was a key selling point," says Andrew. "Not only will it provide job-by-job transparency of financial information, but will also act as a more efficient way of running the business, provide structured, auditable management of all documents, enhance resource planning and remove the double-handling of invoices, allowing resources to be redeployed elsewhere."
Union Square will be implemented at Egniol later this year, following a series of server upgrades and end-user hardware. "We've decided to overhaul the whole IT infrastructure while we're at it, ensuring we're in the best position to remain competitive," concludes Andrew.
