Shanghai Tech Center Opens Using XFAIR’s EMS Solutions

The center began operation on Friday, September 12, using XFAIR’s Event Management Software (EMS) and hardware solutions to help manage and organize visitors and workflow.
With the opening of the tech center, the graphic printing company will use XFAIR’s EMS to handle registration of both visitors and employees. Employees can register through XFAIR’s online platform and invite customers to the center for product demonstrations. Once invited to the center, customers can confirm or decline their attendance and then register through the online XFAIR portal. With the help of these pre-registrations online, the employees at the center can estimate the number of visitors each day and prepare accordingly including printing name badges for visitors and setting up meeting rooms to accommodate them.
To further help organize visitor traffic at the tech center, the company is using EMS to handle all meetings and meeting room bookings. Employees can easily schedule meeting rooms through the online registration portal, or the EMS admin portal – both software solutions developed by XFAIR. All meeting rooms can be changed and rescheduled quickly and simply through EMS.
To easily display meeting agendas, XFAIR has installed an iPad outside of each conference room, showing the schedule of meetings taking place in that specific room throughout the day. This alleviates confusion for employees and the chance of double booking rooms, all while helping the customer look professionally organized. Also, the center’s information desk displays a large-scale monitor, running XFAIR’s software, for visitors to easily view information about meeting schedules and to find details of the equipment that is being shown on the floor that specific day. The monitor is linked to EMS, enabling changes in schedules to appear real-time.
When visitors arrive to the center, they will have a customized name badge waiting for them at the main desk. Their badge includes a personal QR code that enables them to check into the center, letting all employees know that they have arrived. Upon scanning the badge at the check in terminal, guests receive a customized welcome message. The badges are also used to check out when leaving, allowing employees to keep track of the duration of a visitors stay.
Further, these personal QR codes enable employees to better understand their customer’s product interests. Guests simply scan the QR code, using a hand scanner, at individual product stations to communicate that they have an interest in that particular product. All information is stored in EMS for easy retrieval at the end of the day, supporting effortless follow up from employees at the center.
Through another one of XFAIR’s offerings, the Lead Application, guests can easily enter anonymous feedback about their visit. Attendees can use iPads, found mounted to the walls with customized mountings, throughout the center to enter information about their visit and product interests. In order to collect additional comments and opinions, and gather detailed information about guest satisfaction, an online survey is also provided by XFAIR to customers after their visit. This information helps employees at the center make ongoing improvements to the center and guest experience.
